Gym marketing automation software: flows that pay off

What should gym marketing automation software actually do?
It should answer every new lead within minutes, get people to their consultation and first visit, notice when a member stops coming, and ask happy members for a review or a referral. All of that on its own, in your words, without flooding anyone. The best tool is the one that covers those flows with the channels your members already read, and shows you exactly what was sent and why.
Most gyms lose leads and members in the gaps: the enquiry that sat in the inbox over the weekend, the consultation nobody confirmed, the new member who came twice and then disappeared. Automation closes those gaps every day, not only on good days.
The 10 flows that matter for a gym or studio
In practice, these ten carry most of the value, and they follow the member from first enquiry to loyal regular.
1. Speed to lead
A new lead comes in from your website, a landing page or a social ad. The flow sends a short reply right away, with a link to book a consultation or a trial, and creates a task for the person on the front desk to call. If nobody has contacted the lead after a set time, a second step reminds staff. The message buys you time; the call wins the member.
2. Consultation reminder and missed consultation
A reminder the day before and a short one a couple of hours before the slot. If the person does not show up, the missed consultation branch sends a friendly "want to pick another time?" and puts a follow-up on staff's list. Do not send three reminders for one appointment; one or two is enough.
3. New member welcome and first visit
The welcome message explains the practical things: opening hours, how check-in works, what to bring, who to ask for. After the first visit, a short "how was it?" invites a reply, which often surfaces small problems early.
4. Install the app
If your members book classes and track workouts in an app, getting it installed in week one matters. The flow sends the download link and a reason to install it (booking, the class schedule, their plan), and stops as soon as the member logs in.
5. Absence ladder
The member has not visited for a while. The first step is light: "we have not seen you in a bit, all good?" A later step can offer a session with a coach. The last step is not a message but a task for staff to call. Each step waits long enough to fit your members' normal rhythm; someone who trains twice a week and someone who comes on Saturdays need different gaps.
6. Class no-show
Someone booked a class and did not come. One neutral message, no guilt: the next free slot and a reminder of your cancellation rules. If no-shows repeat, that is a job for a person, not for more automation.
7. Birthday
A short greeting on the day, and an offer if you want one (a guest pass for a friend works well because it doubles as a referral).
8. Google review request
Ask after a positive moment, for example a few weeks into the membership or after a milestone, not on day one. One ask, one link, no reminders.
9. Refer a friend
Members who come regularly are your best marketing. A referral message with a simple offer and a link or code, sent to engaged members only, beats a generic blast to everyone.
10. Trial ending

How to prioritise when you cannot do everything at once
Start where money is closest and where silence costs the most. A reasonable order for most gyms:

Switch on one group, read the log for a week, fix the wording, then add the next. A common mistake is launching ten flows on the same day and then not knowing which one annoyed people. Which channel for which message
Pick the channel by what the message is and where the member actually reads.
- App push and in-app chat: members who use your app. Good for class reminders, no-shows, first visit follow-ups. In Trainera these work from day one with nothing to connect.
- Email: anything with details, prices or links, such as trial ending and welcome information. In Trainera it goes through your own SMTP or email provider.
- SMS: leads and people who have not installed the app. Short and plain. Through your own Twilio account.

- Viber: useful in markets where Viber is the default chat app, through your own Viber Business account.
Leads usually have no app yet, so the first message goes by SMS, WhatsApp or email. Members get most messages in the app. Trainera adds no per-message fee on any channel; the provider's own rates apply.
Consent, STOP and not becoming the gym that spams
The fastest way to kill automation is to annoy people. Good software builds the brakes in, so they do not depend on someone remembering. In Trainera the defaults are:
- quiet hours from 21:00 to 08:00 (you can change the hours and sending days; replies to a message the person just sent go out right away);
- at most 2 automated messages a day and 6 a week per person from one sender;
- a marketing message waits if the person got one in the last 12 hours;
- soft-touch steps are skipped when you or your staff wrote to the person yourselves in the last 24 hours;
- STOP replies honoured in chat, WhatsApp, SMS and Viber, an unsubscribe link in every email, and members choose all automated messages or marketing only;
- optional approval before sending: never, marketing only, or every message; plus a one-click pause and an emergency stop that only the owner can use.
Keep your own house rules too: only message leads who gave you their contact details for that purpose, keep marketing (offers, referrals, reviews) apart from service messages (bookings, reminders), and check the rules for your country before you send SMS or WhatsApp marketing.
What to check in the activity log
Automation that nobody reads becomes noise. Trainera's activity log shows every run and the reason each step was sent, skipped or delayed, and a daily digest at 08:00 sums it up. A weekly routine that takes ten minutes:
- Skipped and delayed steps: many skips for quiet hours or limits mean your timings are off or two flows overlap.

- Replies: flows that get answers are working. Read the answers; they tell you what members actually want.

To be fair to the others: if you already run your gym on Zen Planner, PushPress or Glofox, their own marketing layer sits on data they already have, and that is a real advantage. Switching the whole gym system just to change the marketing tool rarely makes sense on its own.
