What is all-in-one gym software?

All-in-one gym software replaces the usual stack of separate tools with one platform and one member record, from the first enquiry to the check-in at the door. Instead of a billing system, a door system, a booking tool, a coaching app and a website with a lead spreadsheet, the owner works in one dashboard and members use one app.

The test is not the feature count. It is whether data entered once shows up everywhere: a member who renews at the desk gets through the turnstile, appears in their trainer's list and sees the package in the app, with no retyping.

The five-tool stack most gyms end up with

Most gyms never chose a stack. They added one tool per problem, and now the desk juggles systems that do not talk to each other.

  • Membership and billing system - packages, renewals, who paid and who is due.
  • Door or check-in system - a scanner or turnstile with its own member list.
  • Booking tool - classes and PT slots, often with its own member app.
  • Coaching app - training and nutrition plans, with yet another login.
  • Website plus a lead spreadsheet - enquiries copied by hand.

The cost is daily friction: a renewal that has not reached the door, a trainer planning for an expired member, an enquiry that never becomes a call. Each tool also bills separately, often per module or per active member.

What "all-in-one" must really include: a checklist

A platform earns the label only if these five things share one member record. If any of them needs a separate product with its own login, you still run a stack.

  • One member record from enquiry to check-in. The lead becomes a member without retyping, and the same record drives payments, access and coaching.
  • Payments tied to packages and door rules. A package sets price, billing cycle, access hours and entry limits, and the door checks them on every scan.
  • Coaching in the same member app. Plans, nutrition, workout logging and chat sit next to the member card and bookings.
  • Trainer and staff logins. Each person opens only the pages they need; the owner sees everything.
  • Website and leads. The site is connected to your packages, and enquiries land in a pipeline with reminders.

Class planning, push messages and AI plan drafts are useful extras, but they do not make a product all-in-one. For the full feature map, see our gym management software guide.

Stack vs bundle: side by side

The difference shows at the desk every day and in how the bill is built. Score your current setup here.

QuestionSeparate stackAll-in-one bundle

A bundle wins when the time lost to double entry costs more than the depth you give up.

A worked example: what Trainera bundles

Trainera is one example of the bundle approach: membership packages, QR and turnstile check-in, a member app on iOS and Android, trainer and staff accounts, a class planner, a leads CRM and a website builder, run from one web dashboard. Most gym platforms sell management, coaching, a member app and payments as separate products; Trainera bundles them.

Memberships, door and payments

Packages carry your own price, currency, billing cycle, access hours and daily or monthly entry limits. Members get a QR card in the app, and you can connect a turnstile, barrier or scanner (up to 10 devices on Core) that checks expiry, hours and limits on every scan. Members pay by card in the app through your own Stripe account at a 0% platform fee, reception records cash, and you see who paid, who owes and who expires in the next 14 days, with a CSV-exportable ledger. More in our check-in guide and our guide to gym payment software.

Coaching in the member app

Trainers get their own login under your gym, with their members, plans and messages. Plans draw on 1,800+ exercises and 1,100+ recipes; AI plan drafts and AI food scanning are switched on per package, and trainers review and approve plans before members follow them. Website, leads and the rest

A website on your own domain is connected to your packages, enquiries go into a leads CRM with a 7-stage pipeline, and the class planner runs recurring series with rosters. Add push broadcasts, 10 GB of document storage, an MCP server for AI assistants and 26 languages.

What it costs: Core and White Label

Trainera publishes its gym prices: Core is $149 and White Label $299 a month in the United States, with unlimited members, no per-member fee and no setup fee, billed monthly.

MarketCoreWhite Label
United States$149$299
Germany and the western eurozone139.99 €279.99 €
Spain and the southern eurozone129.99 €259.99 €

On Core, members use the Trainera app with your logo and colours, and there is a 7-day trial. White Label adds your own iOS and Android app with store submission handled, push under your brand, a dedicated account manager, priority support and 50 GB of storage; it is arranged on a call. See the pricing page for other markets and our gym software cost guide for pricing models.

When a specialist stack is still the better choice

All-in-one is a trade: you give up the deepest version of each module for one record and one bill. If one of these areas drives your business, keep a specialist tool.

  • Heavy retail. A real shop or supplement counter needs a POS with stock control, which Trainera's plans do not include.
  • Multi-site chains and franchises. Central reporting and franchise billing belong to enterprise suites; Trainera's plans do not include multi-location management.
  • Direct-debit-heavy billing. Trainera's stated member payment methods are card through your own Stripe account and cash at the desk.
  • Deep marketing automation. Trainera has a leads pipeline and push broadcasts, not an email automation suite.
  • Enterprise integrations. Trainera states a check-in API and an MCP server; confirm any accounting or HR connector first.

If none of these fit, the bundle usually saves more time than it costs. For vendor picks, see our best gym management software ranking.

How to consolidate five tools into one

Switch in one planned move, so the new platform owns the member record from day one.

  1. List what you pay for and where members, packages, expiry dates, trainers, plans and leads live.
  2. Send your exports. Trainera imports members, packages and expiry dates, plus trainers and plans, for free.
  3. Rebuild packages with their door rules and connect the door device.
  4. Invite trainers and staff with the pages each should see.
  5. Share your join link: members find their membership, QR card and packages in the app.
  6. Cancel the old tools after one billing cycle runs cleanly.

The bottom line

All-in-one gym software pays off when one member record and one predictable bill matter more than maximum depth per module. Run the checklist against any platform, including ours. If your gym fits, Core gives you the bundle and White Label adds your own apps.

Frequently Asked Questions

What is all-in-one gym software?

All-in-one gym software is one platform that runs memberships and billing, check-in at the door, class and PT booking, trainer coaching, your website and your leads from a single member record. Staff log in once, members use one app for their card, bookings, training plan and messages, and nothing is typed into a second system. If any of those parts needs a separate product with its own login, it is a stack, not a bundle.

Which software combines gym management, billing and workout tracking?

Look for a platform where the membership package, the payment and the training plan belong to the same member. Trainera is one example: packages with your own price and billing cycle, card payments through your own Stripe account at a 0% platform fee or cash at the desk, and trainers who build training and nutrition plans that members log in the same app as their QR card. Many platforms sell these parts separately, so check what the base plan includes.

Is all-in-one gym software cheaper than separate tools?

Often, but not automatically. A stack means several subscriptions, and many charge per module or per active member, so costs rise as you grow. A bundle replaces them with one plan, although some bundles still charge per member. Trainera's gym plans are flat: $149 for Core and $299 for White Label a month in the US, with unlimited members, no per-member fee and no setup fee. Compare the full yearly cost, not the headline price.

When should a gym not use all-in-one software?

When one specialist area drives the business. Gyms with heavy retail need a point-of-sale system with stock control, chains need multi-site and franchise tools, and clubs where most members pay by direct debit need billing built around it. Deep marketing automation and existing enterprise integrations are also reasons to keep specialist tools. Trainera's plans do not include POS, multi-location management or direct debit, so those gyms should compare enterprise suites.

How hard is it to switch to an all-in-one platform?

Less work than most owners expect if you move in one planned step. Export your data, rebuild packages with their door rules, invite trainers and staff, then invite members to the app. Trainera imports members, packages and expiry dates, plus trainers and plans, for free. Core starts with a 7-day trial, so you can set up packages and door rules before you move everyone. Keep the old tools until one billing cycle runs cleanly.
